Managing Shared Workflows in Your Sheetgo Workspace

How to Access and Manage Workflows Shared with You

Whenever someone shares a workflow with you, it won’t appear directly in your Sheetgo Workspace. Instead, it will first appear in the Shared Workflows section of your workspace, allowing you to review and decide whether you want to add it or not.

This gives you complete control over what enters your workspace, keeping it organized, clutter-free, and free from unnecessary workflows that you don’t need.

Where to Find the Shared Workflows

In your Sheetgo workspace, the Shared Workflows button is located at the top of the "My Workspace", just below the search bar, next to the filter and sorting options.

How to Review and Add a Shared Workflow

When you click on the Shared Workflows button in your workspace toolbar, a dialog window titled “Shared Workflows” will appear — as shown in the screenshot below.

This window displays all workflows that have been shared with you and are waiting for your review.

Each workflow card includes following details:

  • The workflow name and its description

  • The workflow's owner’s or manager's name (who shared it with you)

  • A quick overview of the number of automations, forms, and dashboards included

  • Three action buttons available under each workflow:

    • View workflow – Opens the workflow without adding it to your workspace

    • Remove – Dismisses the workflow from your shared list. It will move to your “Removed history,” where you can recover it later if needed.

    • Add to workspace – Adds the workflow to your main workspace so you can access and manage it.

Removed Workflows

If you’ve declined or removed any shared workflows, you can find them in the Removed Workflows history section.

To access it:

  1. Open the Shared Workflows window by clicking the option below the search bar in your workspace.

  2. At the bottom of the Shared Workflows window, click the Removed history button to open the Removed Workflows history panel — as shown in the screenshot below.

This section displays a list of all the declined workflows that are still shared with you. If you decide to bring a removed workflow back, simply click Recover and add to workspace, and it will reappear in your main workspace.

Once you’ve finished reviewing or recovering workflows, click Done in the bottom-right corner to close the window.

Tips for Managing Shared Workflows

  • Workflows shared with your domain: Workflows shared with your domain also appear here. Any workflow shared with your domain or team will also show up in the Shared Workflows section for you to review and decide whether to add it to your workspace.

  • Review regularly: Open the Shared Workflows section periodically to check for any new workflows shared with you. You’ll see a notification badge with a number on the Shared Workflows icon whenever there are pending workflows waiting for your approval.

    • Manager access – You can fully edit the workflow, make configuration changes, and manage connections.

    • Collaborator access – You can view the workflow and monitor its performance, but you have read-only access and cannot make edits.
