The Approval Workflow lets form creators require manual validation before any submission data is written to connected spreadsheets — giving you tighter control over your data and a clear audit trail of every response.
How to enable approval
Open your form from the workflow canvas.
Click the ⋮ menu in the top-right corner and select Settings.
Expand the Advanced section.
Toggle on Require approval to form responses.
Once enabled, form responses are encrypted and held for review. No data reaches your spreadsheet until an approver acts on each submission.
Add approvers
Type an email address in the Approvers field and click + to add teammates. Approvers are notified by email when a submission is waiting, and in-app if they have joined Sheetgo.
Click Save changes to apply.
Approve or reject by email
Each notification email includes Approve and Reject buttons. The links are tokenized and single-use — attempting to act on the same submission twice shows a clear error message. If the email link fails, you are redirected to the in-app review screen automatically.
Approve or reject from the app
A snackbar notification appears in Sheetgo when new submissions are waiting for review. To manage them:
Click the Pending Approvals alert or open the Pending Approvals menu from the form.
Review each submission — listed with timestamp, a summary, and full response details.
Click Approve or Reject. The count updates in real time.
How submissions appear in your spreadsheet
A status column is automatically added to your destination spreadsheet showing each submission's approval state: pending, approved, or rejected. Visual cues help you differentiate states at a glance.
