On the current team plans, Sheetgo Workflows Team and Sheetgo Workflows Enterprise, everyone shares one pool of monthly automation credits, and each member takes a seat. Older team plans, such as Business, still assign credits to each member and keep their original rules, prices, and limits.
Which kind of team plan do I have?
Check your plan name on the Account page.
Workflows Team and Workflows Enterprise use shared credits and seats.
Older plan names end in "(Legacy)", such as "Business (Legacy)". Their team management dialog has a "Used this month" column and an "Assigned" column for each member.
Automations Pro and Automations Enterprise are single-user plans. For the full plan list, see Sheetgo plans and pricing overview.
Current team plans: shared credits and seats
The following rules apply to Workflows Team and Workflows Enterprise Plans:
1. Shared credits and spending controls
Everyone uses the plan's monthly automation credits from one shared pool. Workflows Team includes 2,000 credits a month and 3 seats. For Workflows Enterprise, you agree on credits with Sheetgo's sales team, and seats start from the first seat.
The team admin does not assign credits to members. There is no credit limit per member.
Only the team admin, who owns the subscription, can change the whole-team spending controls:
Turn "Allow extra usage" on or off. Extra automation credits are billed on the next invoice at the plan's rate.
Select "Set a usage limit" and enter the total in "Pause workflows after [number] credits". This includes monthly and extra credits and cannot be lower than the plan's included credits.
To find these controls, open the Account page, go to the "Plan and usage" card, and select "Manage" in the "Extra usage" section. This opens "Manage extra usage". See View your automation credit usage for details.
When the team uses all its monthly credits and extra usage is off, workflows pause for the whole team until credits reset or the admin turns extra usage on. If the team reaches its usage limit, workflows pause until credits reset or the admin raises or removes the limit. Only the admin can change these settings. Before workflows pause, Sheetgo sends the admin email alerts and shows in-app notices to the admin and members about approaching the included credits or usage limit. See View your automation credit usage for alert timing and details.
2. Who can see usage and manage billing?
Members can see the team's usage. On the admin's Account page, the team card shows:
"TEAM USAGE": the credits the whole team has used.
"Members usage": the credits each team member has used.
The admin's "Team management" dialog shows "Credits usage" with "You used {n} credits." or "No credits used yet this cycle.", seats in use under "Team members", such as "3 / 3", and a row for each person with their role ("Team admin" or "Member"), credits used, and status.
Only the admin can manage the plan and billing. A member's Account page explains that no charges apply to them as part of the team and that they must contact the team's admin to change plan or billing information.
3. Add seats
Each team member takes one seat and shares the team's automation credits. When every seat is taken, the admin must add a seat before inviting another person.
In "Team management", select "Add more seats". Sheetgo also asks you to add a seat when you add a member and no seat is free.
In the "Add a team seat" dialog, choose the number under "How many seats?".
Review the exact amount due today and the recurring amount, billing period, and date. If your account pays by invoice, the dialog shows the amount Sheetgo will invoice today instead of charging your card.
Select "Add 1 seat" or "Add {n} seats" to confirm. After a successful purchase, the "Add a team member" dialog opens. If payment fails, Sheetgo adds no seats.
Extra seats follow your plan's billing schedule. On yearly billing, Sheetgo bills extra seats yearly. Switching the plan between monthly and yearly billing switches the extra seats too. See Switch between monthly and yearly billing.
For the steps to add or remove people, see Adding team members to your account.
4. Unused seats and removing a seat
When a member leaves or you remove them, their seat stays on the subscription, and you continue to pay for it. Removing a member does not remove their seat. You can remove only unused extra seats, not seats included in your plan.
The "Team management" dialog shows how many unused seats you have and the price you can stop paying by removing one.
Select "Remove a seat".
Review the "Remove a team seat" dialog. The unused seat stays paid and usable until renewal. The dialog shows when it ends and when you stop paying for it.
Select "Remove seat" to schedule the removal.
The team dialog lists when the seat ends. To undo the removal before then, select "Keep seat". The seat stays in your team and renews as usual.
If you add a member while a seat is set to end, Sheetgo asks you to confirm with "Add member and keep the seat". This cancels the removal, and the seat renews at its stated price.
If you add seats back before the billing period ends, Sheetgo does not charge again for seats you already paid for. It charges only for seats beyond those. After renewal, adding a removed seat incurs the normal charge.
If your subscription is past due, removing an unused extra seat takes effect immediately, and you receive a prorated credit on your next invoice. If your subscription is set to cancel, you cannot remove seats.
5. Seat maximum and trial invitations
Workflows Team includes 3 seats, and the admin can add extra seats up to the plan's maximum. If you need more seats than your plan allows, Sheetgo directs the admin to the sales team to discuss Workflows Enterprise.
During a Workflows Team trial, the add-member button may be disabled with the tooltip "Add a payment method to invite team members."
Legacy team plans: Assigned credits
Older team plans, such as Business (Legacy), keep their original credit assignment rules. The current plans' "Add more seats" and "Remove a seat" controls do not apply to these plans. So, the following rules are only applicable to Business (Legacy) Plans:
1. Credit assignments and the 500-credit rule
The admin assigns each member a share of the plan's monthly automation credits. Each member can use only their assigned amount. Assignments increase in multiples of 500: e.g., 500, 1,000, 1,500, and so on. An admin who only manages the account can assign themselves 0 credits.
You must have at least 500 unassigned credits before adding a member, as each new member requires a minimum of 500 credits to be added to the license. On a new team, all credits are usually assigned to the admin, so the admin needs to lower their own assignment first to add other users. If all seats are allocated, Sheetgo asks you to add more seats to your subscription before adding another member.
For credit assignment steps, see Assign credits to team members on older team plans. For add/remove member steps, see Adding team members to your account.
2. When a member uses all their assigned credits
A member who reaches their assigned limit cannot use more credits than the admin has allocated. They see a message stating they have reached the limit set by the team admin.
The admin sees a warning on that member's row about their monthly credit allowance.
To resolve this, the admin can reallocate available unassigned credits or reduce allocations from themselves or other team members. Alternatively, the admin can select "Buy more credits" in the Manage Team dialog to increase the team’s total balance, or simply wait for the credits to renew next month.
3. Who can see usage?
The admin can see every member's assigned credits and monthly usage in the "Manage Team" dialog. A member can see only their own.
4. Move to a shared-credit plan
A Business (Legacy) Plan can move to the Workflows Team. Every member retains access, and the whole team shares a single credit pool after the move, rather than having individual credit assignments.
see Move from an older plan to the current plans for more details.
