Run a workflow when a form is submitted

Run chosen automations the moment a Sheetgo Form receives a response.

Use the On form submission trigger to run automations as soon as a Sheetgo Form receives a response. You can choose one form or any form in the workflow, then select which automations run for each submission.

This is a smart trigger, so you need a plan that includes smart triggers. You can still run the workflow manually.

Before you start

The form must belong to the workflow you want to run. To move a form from another workflow:

  1. Open the Forms panel.

  2. Open the form's ⋮ menu and select "Move".

  3. Choose the destination workflow in "Move to another workflow".

Set up the form trigger

  1. In the Sheetgo web app, open your workflow.

  2. Select the Triggers icon in the workflow sidebar, or select "Triggers" at the top of the Automations panel, next to "Run all".

  3. Turn on the switch at the top ("Auto-Run" or "Run automatically") so you can edit the trigger fields.

  4. Select "+" ("New trigger"), or use an existing trigger. You can rename it under NAME at any time.

  5. Under TRIGGER OPTIONS, change the default "Based on a schedule" to "On form submission".

  6. In "Select a form", choose the form that should trigger the run. Choose "Any forms" to trigger the workflow whenever any of its forms receives a response.

  7. Under AUTOMATIONS, choose the automations to run for each submission.

  8. Review the "Consumption" estimate, then select "Save changes" with the switch on.

You can also open the same trigger settings from the workspace. Select the trigger summary on the workflow's card, such as "Manual trigger". The switch reads "Auto-Run" or "Run automatically", depending on where you open it.

Choose which automations run

Before multiple triggers, a form submission ran every automation in the workflow. A form trigger can now run only the automations that process the response.

For example, select the automations that append the response to a log and send a confirmation. Reports and consolidations can keep their schedule on another trigger. Each response then uses only the automation credits of the automations you selected.

The "Consumption" estimate shows the approximate automation credits per form submission. It reads: "This workflow schedule will use approximately N credits per form submission".

If you can't finish the setup

The form isn't available

If the workflow has no forms, "Select a form" displays "This workflow does not have forms." If your form belongs to another workflow, move it into this workflow from the Forms panel.

The form list labels a deleted form as "Deleted". If someone transferred a form's ownership, the list labels it "Ownership transferred".

The fields can't be edited

Turn on the switch ("Auto-Run" or "Run automatically"). You can't edit the fields while the switch is off. A trigger saved with the switch off is dormant.

"Save changes" is disabled

"Save changes" stays disabled until the trigger is complete. Check that you've chosen a form or "Any forms" and selected the automations to run.
