The Expense Tracker template helps you monitor and manage company or team expenses efficiently. It enables team members to record expenses through a form, automatically log entries into a central spreadsheet, and analyze expense trends using an automated dashboard.
How the Workflow is Structured
The workflow has:
Expense record form β Used by team members to submit expenses.
Team expense tracker (Google Sheet) β Stores all form responses and organizes data by type, user, and date.
Dashboard β Automatically visualizes expenses by category, individual, and time period for better insights.
Steps to use the template
Step 1: Install the Template
Install the template from this link: Expense Tracker
Once installed, the workflow will open in your Sheetgo workspace at app.sheetgo.com.
Youβll see helpful notes in the right-side panel of your workflow.
π Before starting, delete the sample data in the spreadsheets (but keep the headers and formulas).
Step 2: Share with Colleagues
Share the Expense record form with all employees who need to submit expenses.
Keep the Team expense tracker and Dashboard restricted to finance or management.
Share reports and dashboard with managers and stakeholders.

Step 3: Record Expenses Using the Form
Open the Expense record form.
Fill in details including:
Submitted by (email address)
Description of the expense
Invoice number
Amount ($)
Type of expense (e.g., Meals, Fuel, Lodging, etc.)
Link for the receipt (optional)
Click Submit to record the expense.
Step 4: Review Entries in the Spreadsheet
All submitted expenses automatically appear in the Team expense tracker sheet.
The sheet includes details such as submission date, description, invoice number, amount, expense type, and receipt link.
Step 5: Analyze Expenses in the Dashboard
The Dashboard automatically updates and displays:
Amount per type β Breakdown of spending by category.
Expenses per day β Trend of daily spending.
Expenses per individual β Contribution of each team member.
Expenses per month β Monthly spending overview.
Expenses per month, per individual β Combination of both views for comparison.
