The Timesheet Management Template helps teams record, track, and analyze working hours efficiently. It automates employee work logs, aggregates timesheet data, and provides a visual dashboard for time utilization and productivity analysis.

Workflow Overview

This automated workflow connects a work log form, a central timesheet spreadsheet, and a live dashboard.

How it works:

  • Employees submit their daily work hours through a Submit Work Log form.

  • The data flows automatically into the Timesheet Management spreadsheet.

  • The Dashboard visualizes team and project performance in real time.

Step 1: Install the Template

  1. Install the template from this link: Timesheet Management

  2. Once installed, the workflow will open in your Sheetgo workspace at app.sheetgo.com.

  3. You’ll see helpful notes in the right-side panel of your workflow.

👉 Before starting, delete the sample data in the spreadsheets (but keep the headers and formulas).

Step 2: Share with Colleagues

To enable collaboration across your team:

  • Share the Submit Work Log form with all employees so they can record their hours.

  • Restrict access to the main Timesheet Management spreadsheet to administrators only.

  • Share the Dashboard with management or project leads to review productivity insights.

This ensures that all users interact only with the components relevant to their role.

Step 3: Submit Work Log

Team members record their daily work using the Submit Work Log form.

Form details:

  • Submitted by: Automatically records the email of the user submitting the form.

  • Project: Select the relevant project from the dropdown list.

  • Task: Choose a specific task related to that project.

  • Duration (Hours): Enter the total hours worked.

  • Notes: Add comments, details, or context about the work performed.

Ensure all project and task names are already listed in the spreadsheet’s “Projects and Tasks” tab. The dropdown will automatically reflect them in this form.

Step 4: Explore the Timesheet Spreadsheet

All submitted work logs are stored and managed in the Timesheet Management spreadsheet. This is where all data flows automatically from the form, ready for analysis and reporting.

Projects and Tasks Tab

  • This tab defines the available projects and their respective tasks. Each entry here appears as an option in the Submit Work Log form.

  • Before team members start submitting work logs, list all ongoing projects and the tasks associated with them.

  • You can add new projects or tasks anytime, and they’ll instantly appear in the form dropdown.

Employees Tab

  • This tab stores employee information.

  • Each team member’s email address and name are recorded here to link form submissions to the right person.

  • When a new team member joins, simply add their email and name here.

Timesheet Tab

  • This is the central log where all submitted entries are collected.

  • Each submission from the form creates a new row with the date, employee, project, task, duration, and notes.

  • You can use this tab to filter or review raw work log data at any time.

Dashboard Tab

  • The Dashboard gives an instant overview of work distribution and employee productivity.

  • It provides visual summaries of how time is spent across employees, projects, and tasks.

Step 5: Dashboard Insights

The Employee Timesheet Insights dashboard displays:

  • Hours per Employee: Shows total hours logged by each team member.

  • Hours per Task: Compares time allocation across different types of tasks.

  • Hours Worked per Day: Tracks daily work trends and activity patterns.

  • Project-wise Total Hours Worked: Highlights which projects consume the most time.

  • Hours Spent per Project: Combines project and task-level time analysis.
