The Gmail source saves email attachments directly to a folder. You can choose which emails Sheetgo processes and use another automation to read the saved files into a spreadsheet.
This source is available in the Sheetgo web app. It extracts attachments only, not email bodies. For Microsoft accounts, see Use Outlook email as a source.
Add Gmail as a source
Open your workflow and create a new automation.
In the source list, select Gmail under APPS & SERVICES, next to Outlook.
If Sheetgo doesn't have access to your mailbox, the source step shows: "Sheetgo needs access to your Gmail account to read your messages and download attachments." Select "Connect Gmail account" and authorize access.
Under IMPORT SETTINGS, choose where to read emails and what to extract.
Import settings
Setting | Options |
Read from | Choose Inbox, Sent, or Anywhere. |
Extract | "Attachments (files)" is the only option. Gmail can't save email bodies. |
Choose which emails to process
Turn on "Filter emails" to choose emails by subject, sender, recipient, or attachment. Turn it off to process every email in the location selected under "Read from". For the available fields and criteria, see Filter which emails a Gmail source processes.
Process each email only once
"Process each email only once" is on by default. Sheetgo tracks handled emails by ID, so later runs pick up only new messages. Leave this on if you want to avoid processing the same email again.
Save the attachments to a folder
Select "Next step" to open the destination list.
Under FOLDER, select "Folder". This is the only destination available for the Gmail source.
In the "Files in a folder" panel, go to DESTINATION FOLDER and choose "New folder" or "Existing folder".
If you choose "New folder", enter a name in "Folder name". The panel shows the folder's location next to the options, such as "Root folder" in Google Drive. Use "Change destination folder" to change the location. If you choose "Existing folder", select the folder you want to use.
Select "Review automation". The review shows "Email — Save email attachments from your inbox to a folder" and "Files in a folder".
Select "Finish and run" to save and run the automation.
Sheetgo saves the attachments directly in the destination folder. This automation doesn't create a spreadsheet.
To run it again manually, use "Run all automations" in the workflow. You can also run it on a trigger, such as a schedule. See Run a workflow on a schedule.
Use the saved files as data
Add a separate automation with a Folder source to read the saved attachments:
For Google Sheets, Excel, and CSV files, choose "Spreadsheets" as the "Content type". You can combine the files' data into one table.
For PDFs, Google Docs, and Word documents, choose "Documents" as the "Content type". Sheetgo extracts data into a spreadsheet, with one row per document. Document extraction consumes automation credits.
For instructions, see Turn email attachments into spreadsheet data.
Both automations can live in the same workflow and use different triggers. For example, you can save email attachments every hour and read the folder once a day. See Use more than one trigger in a workflow.
If Sheetgo can't access your mailbox
If you haven't authorized Gmail access yet, open the source step and select "Connect Gmail account".
If Sheetgo loses access after you connect, the source step shows:
"Sheetgo's access to your Gmail account is no longer valid. Reconnect the account to keep reading your messages and downloading attachments."
A run reports:
"This automation reads a Gmail mailbox, and Sheetgo no longer has access to it. Authorize your Gmail account to run it again."
Reconnect your Gmail account in the source step, then run the automation again.
