Run a workflow on a schedule

Run a workflow every few minutes, daily, weekly, monthly, quarterly, yearly or once on a chosen date.

Use a schedule trigger to run a workflow automatically at recurring intervals or once on a future date. The product and older articles call this the "smart schedule".

Each trigger has its own time zone, so two triggers in the same workflow can follow different time zones. The fastest schedule is every 15 minutes.

Open the trigger settings

In the Sheetgo web app, open your workflow and use either option:

  • Select the Triggers icon in the workflow sidebar.

  • Select Triggers at the top of the Automations panel, next to Run all.

You can also open the settings from the workspace. Select the trigger summary on the workflow's card, such as "Weekdays at 10AM" or "Manual trigger". The same settings open in a dialog.

Set up a schedule trigger

  1. Turn on the switch at the top of the Triggers panel (Auto-Run or Run automatically, depending on where you open it). You can't edit the fields while the switch is off.

  2. To add a trigger, select the + button (New trigger). A workflow with one trigger opens straight into its settings.

  3. Under NAME, keep the default name, such as "Trigger 1", or enter your own. You can rename the trigger at any time.

  4. Under AUTOMATIONS, select the automations to run.

  5. Under TRIGGER OPTIONS, keep Based on a schedule, the default for a new trigger.

  6. Choose a FREQUENCY and complete its fields. The choices are described below.

  7. Review Consumption for the estimated monthly automation credits.

  8. Select Save changes. This button stays disabled until the trigger is complete.

A trigger saved with the switch off is dormant.

What to set

Multiple times a day

Choose an interval, a time zone, DAYS from Sunday to Saturday, and a time range.

Once a day

Choose a one-hour window, a time zone, and DAYS. Select a single day in DAYS for a weekly run.

Once a month

Choose a day of the month or On the last day of the month, then a one-hour window and a time zone.

Last weekday of the month

Choose the last occurrence of a day, from On the last Sunday through On the last Saturday, then a one-hour window and a time zone.

Every quarter

Choose a group of months, a day of the month, a one-hour window, and a time zone.

Every year

Choose a month, a day of the month, a one-hour window, and a time zone.

Once, on a specific date

Choose a future date under Run on. The trigger runs once, then switches itself off.

Multiple times a day

The interval choices are:

  • Every 15 minutes

  • Every 30 minutes

  • Every hour

  • Every 2 hours

  • Every 3 hours

  • Every 4 hours

  • Every 5 hours

  • Every 6 hours

  • Every 7 hours

  • Every 8 hours

  • Every 9 hours

  • Every 11 hours

  • Every 12 hours

Set DAYS and a time range to define when the schedule runs. For example, the range can read "Time range: 06:00 AM - 06:00 PM".

The 3-, 5-, 7-, 9-, and 11-hour intervals help stagger workflows so they don't all run at the same time.

One-hour windows

For frequencies that use a one-hour window, the choices run from "Between midnight - 1:00 AM" to "Between 11:00 PM - midnight". For example, you can select "Between 9:00 - 10:00 AM".

Monthly schedules

With Once a month, you can choose On day 1 or another day. Months without your chosen day are skipped. To run at the end of every month, choose On the last day of the month.

Last weekday of the month lets you choose the last occurrence of any day of the week, including Sunday and Saturday. For example, choose On the last Friday to run on the last Friday of every month.

Quarterly schedules

Every quarter has three month groups:

  • In January, April, July and October

  • In February, May, August and November

  • In March, June, September and December

Choose a group, then On day 1 or another day of the month. Set the one-hour window and time zone for that trigger.

One-time runs

For Once, on a specific date, choose a future Run on date. If you select a past date, the panel displays "That date has already passed. Pick a future date."

After the trigger runs, it switches itself off and shows Completed, with Ran on and the date. To schedule another one-time run, select Run again and pick a new date.

Check consumption and failure notifications

Under Consumption, the panel estimates monthly automation credit use. For example, it may show "This workflow schedule will use approximately 120 credits per month".

To open Failure notification settings for the workflow's automatic runs, select the bell icon at the top of the Triggers panel.
