Smart scheduling runs your workflow automatically at the frequency you choose. You can limit frequent updates to business hours, schedule reports, or set a workflow to run once on a future date.
Open the schedule settings
Open your workflow and select the Triggers icon in the workflow sidebar.
Turn on the switch at the top ("Auto-Run" or "Run automatically", depending on where you open it).
Under TRIGGER OPTIONS, choose "Based on a schedule".
Set FREQUENCY and the fields for your schedule. Use the examples below to choose your settings.
Select "Save changes".
For schedules with a time zone field, choose the time zone your schedule should follow. A one-hour window, such as "Between 9:00 - 10:00 AM", schedules the run within that window rather than at an exact minute.
Update inventory many times a day
To keep inventory data updated throughout the working day, run the workflow every 15 minutes between 6 a.m. and 6 p.m. in your selected time zone.
Set FREQUENCY to "Multiple times a day".
Choose "Every 15 minutes".
Set the time zone.
Under DAYS, select the days your business operates.
Set the time range to "Time range: 06:00 AM - 06:00 PM".
Select "Save changes".
The time range limits the hours when the workflow runs. Every 15 minutes is the fastest schedule. Choose a longer interval if you need fewer updates.
Update a hardware store's data at closing time
For a hardware store that closes at 5 p.m. Monday through Friday, schedule one update during the hour after closing.
Set FREQUENCY to "Once a day".
Choose "Between 5:00 - 6:00 PM".
Set the store's time zone.
Under DAYS, select Monday through Friday and leave Saturday and Sunday unselected.
Select "Save changes".
The workflow runs once each selected weekday within the closing-time window.
Calculate bonuses every Monday
To calculate weekly bonuses on Monday morning:
Set FREQUENCY to "Once a day".
Choose "Between 9:00 - 10:00 AM".
Set the time zone.
Under DAYS, select only Monday.
Select "Save changes".
Choosing a single day under DAYS makes "Once a day" a weekly schedule.
Run a performance review on the first day of each month
To prepare performance data at the start of every month:
Set FREQUENCY to "Once a month".
Choose "On day 1".
Choose "Between 9:00 - 10:00 AM".
Set the time zone.
Select "Save changes".
If you choose a day that some months don't have, the schedule skips those months. To run at the end of every month instead, choose "On the last day of the month".
Prepare a month-end report on the last Friday
To prepare a report on the last Friday of every month, even when that Friday falls on a different date:
Set FREQUENCY to "Last weekday of the month".
Choose "On the last Friday".
Choose "Between 9:00 - 10:00 AM".
Set the time zone.
Select "Save changes".
This frequency lets you choose any day of the week, Sunday through Saturday.
Run a quarterly report
To run a report on the first day of January, April, July, and October:
Set FREQUENCY to "Every quarter".
Choose "In January, April, July and October".
Choose "On day 1".
Choose "Between 9:00 - 10:00 AM".
Set the time zone.
Select "Save changes".
You can also choose "In February, May, August and November" or "In March, June, September and December".
Run a yearly workflow
To run a workflow every January 1:
Set FREQUENCY to "Every year".
Choose January and "On day 1".
Choose "Between 9:00 - 10:00 AM".
Set the time zone.
Select "Save changes".
Run once on a set date
To schedule a one-time report for a future date:
Set FREQUENCY to "Once, on a specific date".
Under "Run on", choose your future date.
Select "Save changes".
The trigger runs once, then switches itself off. If you choose a past date, the interface displays "That date has already passed. Pick a future date."
After the run, the trigger shows "Completed" and "Ran on" followed by the date. To schedule another one-time run, select "Run again" and pick a new date.
Check automation credit consumption
Under "Consumption", the panel estimates how many automation credits the schedule will use each month. For example, it may show "This workflow schedule will use approximately 120 credits per month".
Automatic runs use automation credits from the workflow owner's plan. Someone else with access to the workflow uses their own credits only when they run it manually.
