Use the Gradebooks management template

Step-by-step instructions to get started.

Sheetgo's Gradebooks Management template gives school administrators and teachers a simple way to automatically track student grades and share information.

How does the template work?

When you install the Sheetgo Gradebooks Management template, four Google Sheets files are saved to your Google Drive with pre-built Sheetgo automations:

  • Three Class spreadsheets are stored in one folder. Each teacher should record student grades in their spreadsheet, which will calculate a total, a percentage, and an average grade for each student and class averages for each assignment.

  • Gradebooks Management (master sheet): Sheetgo automations import data from Class spreadsheets directly into this file. A dashboard displays key information such as the Top 10 Best Students, Top Classes by Grade, and the Top 10 Best Grades by Assignment. A Top-Priority Students chart alerts you to pupils who are falling behind and may need extra support.

How to use the template?

Step 1: Install


Wait while Sheetgo creates the automations and saves a copy of the files to Google Drive.

The template will open in the Workflow view. Click Gradebooks Management (master sheet), then select open.

Step 2: Set up your grading scale

In the Inputs tab, enter your preferred grading scale.

Now enter the grading scale in all the Class (teacher) spreadsheets.

Click the Files icon on the right sidebar to reveal files included in your workflow.


Double-click the Classes folder to view the 3 Classes files. Open each file and change the grading scale in the Inputs tab.

The grading scale must remain the same in every file in the workflow so that you can calculate and compare grades correctly.

Step 3: Share the files

After entering the grading scale in each spreadsheet, share the files with the teachers who will fill them out.

Step 4: Teachers enter data

The Class spreadsheets contain sample data to demonstrate how the template works.

In the Gradebook tab, teachers should overwrite the data in Column A with their own list of students.

In Row 1, enter the names of assignments, exams, and tests.

Step 5: Update the workflow

Once courses begin and teachers start grading assignments, they should record students' grades in their spreadsheet.

Click Run all automations to update the workflow, the latest grading data from all Class spreadsheets will be transferred to the Gradebooks Management (master sheet).

Check your master sheet to see data imported from the Class spreadsheets.

Step 6: Automate the workflow

Now that the system is set up, you can schedule workflow runs. Sheetgo automations will transfer the data regularly, ensuring you always have updated grade data in your master sheet.

Open the dashboard to see the latest data from across the school or department.

Adding more classes to templates

Because the Class spreadsheets are stored in one folder, adding or removing classes from the workflow is easy.

  • Open Sheetgo and go to your Gradebooks Management workflow.

  • Go to the list of files and double-click on the Classes folder.

The Google Drive folder Classes opens in a new tab in your browser.

  • Right-click on one of the spreadsheets > Make a copy.

  • Rename the new spreadsheet.

  • Enter the grading scale in the Instructions tab.

  • Enter the student list in the Gradebooks tab.

  • Share the spreadsheet with the teacher.

  • Return to Sheetgo and Run the workflow.

The last step will update all connections in the workflow and import data from the new Class spreadsheet into the master sheet.

Removing a Class file from the workflow

  • Open Sheetgo and go to your Gradebooks Management workflow.

  • Go to the list of files and double-click on the Classes folder.

  • Right-click on the spreadsheet you no longer want and select Remove.

  • Go to Workflow and click Run to update the workflow.

The Class spreadsheet has now been deleted from the folder and the data is no longer being imported into the master sheet.
