Use Sheetgo to share files from your workflow

When building a Sheetgo Workflow you can set up an automation to share a file directly every time the workflow runs. This ensures your team is always aware of files updates and can work with live data.

Sharing spreadsheets by email enhances collaboration and transparency. The Share option is located on the Destination step of your automation.

You configure this at different steps in a workflow: as a direct destination after the source to share your original file without processing it; or as a step after transfering data to a destination file.

These are the possible automations that use Share by email:

  • Source > Share by email

  • Source > Destination > Share by email

  • Source > Data processor > Destination > Share by email

  • Source > Data processor > Destination > PDF > Share by email

Sending Method

There are two ways to share a file by email using Sheetgo. You can share the file along with an access links or share the file as an attachment.

Share file

When sharing the file as a link you need to choose the recipient's access level. There are two options:

  • Viewer: only gives the recipient read permission.

  • Editor: gives the recipient read and write permissions.

File as attachment

When sending a file as an attachment, a copy will be sent so you don't need to determine the recipient's access level. This ensures the original file stays intact in your cloud storage.

You can only send attachments up to 25 MB. Larger files should be shared as links.

Recipient addresses

After choosing how to send the file, you can configure who should receive it by referencing a list of emails in your spreadsheet or by setting a custom recipient.

Get dynamically from a column

If your spreadsheet has a column with a list of emails, you can set the emails in this column as recipients. To fetch emails from a spreadsheet, open the dropdown on the right of Select the recipients and select the column containing them. All the recipients will receive the same file.

Use custom recipient

You can also choose to send the file to a custom email address. In this case, select Use custom recipients and type the recipient's email address.

Reply to

If you expect your recipient to respond to the email, you can add a custom Reply to for your email. You an also add more people as cc or bcc.

Message

Next, you can create an email with text and images. When you are happy, just click Done editing. Now, every time the workflow runs, it will send the emails that you set up.
